How Editing and eSign Work in Your Documents

This update makes document editing and signing clearer and safer by preventing version mix-ups. Below is how your document moves from editing to signing.


The Big Idea

Once a document is prepared for eSign, users can still edit the document or update the signature box, as long as it has not been sent out to others for signing.

You can always go back to your original draft to start a new version if needed.


Your Editing Options

Option 1: Fill Out the Form and Send for eSign

  1. Complete your document using the guided Q&A form

  2. Click Prepare for eSign

  3. Your document becomes an eSign-ready PDF

What to know:

  • This stays as the same document

  • When users move from the Builder to E-Sign, a pop-up appears asking whether they want to Duplicate & Continue or Continue Anyway.

  • Duplicate & Continue (primary action) creates a new Builder file in the dashboard, while the original file is converted into an E-Sign draft.

  • Continue Anyway converts the existing file directly into an E-Sign draft without creating a duplicate.

  • This is best when your answers are final


Option 2: Edit in Text Editor Before eSign

  1. Complete the Q&A form

  2. Open the document in Text Editor

  3. Make wording or formatting changes

  4. Click Prepare for eSign

What to know:

  • The Text Editor creates a new version of your document

  • Changes here do not affect your original form

  • When users move from the Builder to E-Sign, a pop-up appears asking whether they want to Duplicate & Continue or Continue Anyway.

  • Duplicate & Continue (primary action) creates a new Builder file in the dashboard, while the original file is converted into an E-Sign draft.

  • Continue Anyway converts the existing file directly into an E-Sign draft without creating a duplicate.

  • You can return to the original form to create a new Text Editor version anytime


Option 3: Upload Your Own File

  1. Upload your PDF

  2. Click Prepare for eSign

  3. Send for signature

What to know:

  • This stays as one document

  • Editing is not available after eSign begins


What You See on Your Dashboard

Draft Documents

You may see different draft types:

Form Draft

  • Your original Q&A version

  • Always editable

  • Used to create new versions

Text Editor Draft

  • A copy made for manual edits

  • Editable until eSign is started

eSign Draft

  • The version ready for signatures

  • Opens in the PDF editor only

  • Cannot be edited or converted back


Signed and Completed Documents

After sending for signature, your document moves to Completed Files, including:

  • Waiting for others

  • Completed

  • Action required

  • Declined

  • Canceled

These files:

  • Are final and locked

  • Can be downloaded, printed, or duplicated


Important Things to Remember

  • eSign is a one-way step

  • You cannot edit a document after eSign starts

  • You can always duplicate a document to make changes

  • Saving updates the current version only


Why We Do This

This protects your document by:

  • Preventing accidental changes after signing

  • Keeping versions clear and organized

  • Ensuring signed documents stay legally reliable


If you are not ready to sign yet, keep your document in the Form or Text Editor until everything looks right.
